Download User Access Report

Account Owners and Admin users with full access can download an Excel report of all users and their access levels from the Manage Users screen. This is useful for audits and compliance purposes.

About the Report

The report is downloaded as an XLSX file with a dated filename (e.g. 20260520_Audit_User_Report.xlsx). It contains up to two sheets:

Sheet 1 – Audit User Access Report (regular users)

All regular users on the account – active, inactive, and pending activation – excluding deactivated users. The following user types are also excluded:

Users with deactivated roles are included – deactivated roles appear as "Deactivated" in the Role Status column.

Users with multiple roles appear on multiple rows. Only the first row for each user shows their Name, E-mail, Last Activity, and 2FA? – these columns are blank on subsequent rows.

The sheet includes a header block showing: account name, report title, generation date, and active user count.

Column Description
Name The user's name.
E-mail The user's email address.
Last Activity The date of the user's most recent activity.
2FA? Y if 2-Factor Authentication is enabled; blank if not.
Roles The user's role(s).
Role Status Active or Deactivated.
Company The company this role applies to.
Access Full Access, Restricted, or Read Only Restricted.
Restrict to Pay Frequencies Any pay frequency restrictions applied to the user.
Restrict to Pay Points Any pay point restrictions applied to the user.

Sheet 2 – Audit API User Access Report (API users)

All API users on the account – active, inactive, and pending activation – excluding deactivated users. This sheet is omitted if the account has no API users.

The columns are the same as Sheet 1, except the 2FA? column is not included.

Downloading the Report

  1. Go to the Profile icon ( ) > Manage Users.
  2. Click Download Excel.
  3. The report downloads to your device.

Only Account Owner users and Admin users with full access can download this report.
